At its mathematical core, any pro rata calculation operates on ratio apportionment. You establish a fraction representing the proportion of time worked, space occupied, or equity held, and multiply it by the whole value:
Pro Rata Amount = (Actual Units ÷ Total Standard Units) × Full Benchmark Value
1. Pro Rata Salary Mathematical Model
To compute gross earnings for a part-time position from a full-time equivalent (FTE) compensation package:
Step 1: Calculate the Working Ratio
Divide the employee's contracted weekly hours by the company's benchmark full-time weekly hours:
Ratio = Part-Time Hours ÷ Full-Time Hours
Example: 24 hours per week ÷ 37.5 hours full-time benchmark = 0.64 (64% FTE).
Step 2: Determine Pro Rata Annual Salary
Multiply the working ratio by the advertised full-time annual salary:
Pro Rata Annual Salary = Ratio × Full-Time Annual Salary
Example: 0.64 × £45,000 = £28,800.00 gross per year.
Step 3: Convert to Pay Period Sub-Frequencies
- Monthly Gross:
Annual ÷ 12→ £28,800 ÷ 12 = £2,400.00 - Weekly Gross:
Annual ÷ 52→ £28,800 ÷ 52 = £553.85 - Daily Gross Rate:
Annual ÷ 260(52 wks × 5 working days) → £110.77 - Hourly Equivalent:
Annual ÷ (Full-Time Hours × 52)→ £45,000 ÷ 1,950 = £23.08/hr. (Confirm: 24 hrs × £23.08 × 52 = £28,800.00).
2. Pro Rata Rent Mathematical Model

Step 1: Calculate the Exact Daily Rent Rate

Daily Rate = Monthly Rent ÷ Calendar Days in Start Month
Example: A £1,500 monthly apartment with a lease beginning on September 12th (September has 30 days):
£1,500 ÷ 30 days = £50.00 per day.
Step 2: Determine Days of Occupancy
Calculate the number of inclusive days from the start date to the end of the initial billing cycle:
Occupied Days = (End Date - Start Date) + 1
From September 12 to September 30 = (30 - 12) + 1 = 19 days.
Step 3: Compute Total Rent Due
Pro Rata Rent = Daily Rate × Occupied Days
£50.00 × 19 days = £950.00.

Full Leave Year Formula
Pro Rata Leave (Days) = (Part-Time Hours ÷ Full-Time Hours) × Full-Time Annual Leave (Days)
Under UK statutory law (5.6 weeks / 28 days for a 37.5h worker), an employee working 22.5 hours receives:
(22.5 ÷ 37.5) × 28 days = 0.60 × 28 = 16.80 days.
Holiday in Paid Hours Formula
For variable shifts or hourly contracts, converting leave to hours avoids schedule disputes:
Total Leave Hours = Contracted Weekly Hours × 5.6 Weeks
22.5 hours × 5.6 weeks = 126.00 paid holiday hours.
Partial Year (Mid-Year Starter or Leaver)
If employment commences mid-year, leave accrues proportionally to the days worked within the leave year:
Partial Leave = Full Pro Rata Entitlement × (Days Employed ÷ 365)
