How Landlords & Letting Agents Calculate Partial Month Rent

When you sign a tenancy agreement with a start date other than the first day of the calendar month, paying a full month's rent upfront can cause confusion. Landlords and letting agents typically handle this through pro rata rent apportionment.

There are two recognized methods for calculating partial-month rent across the UK, US, Australia, and Canada:

  1. Exact Days in Month Method (Most Common & Fair): The monthly rent is divided by the actual number of calendar days in the move-in month (e.g., 28 in February, 30 in April, or 31 in May). The resulting daily rate is multiplied by the number of days you have possession of the property.
  2. Annualized / Banking Method: The monthly rent is multiplied by 12 to find the annual cost, then divided by 365 (or 366 in leap years) to determine a constant daily rate: (Monthly Rent × 12) ÷ 365. This rate is then multiplied by your days of occupancy.

Pro rata rent is calculated by dividing your total monthly rent by the actual number of calendar days in the move-in month, then multiplying that daily rate by the number of days you will occupy the property during that initial billing period.

Yes, standard leasing agreements include the official move-in date as an occupied day, because the tenant assumes full legal possession and key access from that date forward.

Most professional landlords and tenancy deposit schemes recommend using actual calendar days (28, 29, 30, or 31 days) for absolute accuracy. Some property management companies use an annualised daily rate (Monthly Rent × 12 ÷ 365), but actual monthly days is the most common standard.

If you vacate mid-month in accordance with a mutual break clause, formal notice period, or landlord agreement, pro rata rent is customary. However, you must check your tenancy contract, as some leases specify that rent is non-refundable once the monthly rental period begins.
